When you use SearchSpot, we may ask you to provide certain personally identifiable information:
- Account Information: First name, last name, email address, and password
- Profile Information: Company name, job title, phone number, and professional details
- Payment Information: Billing address and payment method details (processed securely through our payment processors)
- Prospect Data: Information you enter about your prospects and clients for relationship management
- Voice Data: Audio recordings and transcriptions when you use the Voice Notes feature
- Card Scan Data: Images of business cards you photograph using the Scan & Connect feature
- Communication Data: Information you provide when contacting our support team
We automatically collect certain information when you access our Service:

- Service Usage: Pages visited, features used, time and date of visits, click patterns

The prospect and client data you enter into SearchSpot belongs to you. We do not access, analyze, sell, or share your prospect data for any purpose other than providing the Service to you. Your prospect data is protected by row-level security, meaning only you can access your own data.
We work with trusted third-party service providers who help us deliver our Service:
- Cloud Infrastructure: Supabase for database hosting and authentication
- AI Services: Anthropic for AI-powered script generation and features
- Physical Mail: PostGrid for postcard printing and delivery
- Branded Gifts: Printify for gift fulfillment and shipping
- Payment Processors: To process transactions securely
- Email Services: To send Service-related communications and Morning Briefings
- Analytics Services: To understand Service usage and improve user experience
If Triangle Merchant Services LLC is involved in a merger, acquisition, or asset sale, your Personal Data may be transferred as part of that transaction. We will provide notice before your data is transferred and becomes subject to a different privacy policy.

SearchSpot retains your Personal Data only as long as necessary:
- Active Accounts: We retain your account and prospect data as long as your account remains active
- Legal Compliance: We retain certain data to comply with legal obligations such as tax and accounting requirements (typically 7 years)
- Cancelled Accounts: Your data remains accessible for export after cancellation. When you request account deletion, we remove your Personal Data within 30 days, except where retention is required by law
- Voice Notes: Audio files are stored in our secure cloud storage and deleted when you delete them or when your account is deleted
- Card Scan Images: Business card images are stored only if you choose to save them and are deleted with your account
The security of your Personal Data is a top priority. We implement industry-standard security measures:
- Encryption: SSL/TLS encryption for all data transmission and encryption of sensitive data at rest
- Row-Level Security: Database-level access controls ensuring only you can access your prospect data
- Access Controls: Limited access to Personal Data to authorized personnel only
